The Florida Agency for Health Care Administration (AHCA) will perform a major upgrade to the Care Provider Background Screening Clearinghouse system. According to the announcement, the system will be offline from Friday, November 8, at 5:00 PM ET until Monday, November 18, at 8:00 AM ET. During this period, access to background screening results and new hire processing will be unavailable. Below are critical points for providers to prepare for the downtime:

  • New Hire Processing Halted: If you plan to onboard new personnel in early November, ensure that all background screening activities are complete before November 8 at 5:00 PM ET. During the downtime, new hire screenings cannot be processed. Consider taking screenshots of any recent updates as a reference for future use after the upgrade is completed.
  • Access to Previous Results: The Clearinghouse results website will be unavailable during the upgrade. However, AHCA will maintain continuity by manually sending daily Arrest Notifications to agencies and providers to ensure you are informed of any critical updates.
  • Upgrade Timeline & Contingency: The new system is set to be live by 8:00 AM ET on November 18. AHCA has a contingency plan in place for potential delays, and HCAF will keep providers informed should there be any changes to the timeline.
  • Email Authentication Update: The upgraded system will use the email address registered in the current Clearinghouse Results Website for login. To avoid access issues, please verify and update your registered email before November 8. For instructions, refer to page 19 of the User Registration Guide.
